Summer Programs Policies

Early registration is encouraged because camps fill up quickly! Camp sizes are limited. In order to reserve your child’s spot on the camp roster, you must pay a nonrefundable $50 deposit per camp at the time of registration. Any enrollments with an unpaid deposit will be automatically removed after three days. All camps must be paid in full by Thursday, May 1, 2025. Any unpaid balances after that point will result in the loss of the deposit and removal from the program roster to make way for the next child on the waiting list. Any registrations after May 1 must be paid in full at the time of enrollment. All registrations must be completed online. Cape Henry Collegiate reserves the right to modify or cancel any summer program with insufficient enrollment. All camps must meet minimum enrollment numbers no later than one week prior to the respective program’s start date to proceed. If Cape Henry Collegiate cancels a program, a full refund will be given or may be applied to another camp.

1. A refund of the camp fee minus the deposit will be permitted if withdrawal is requested in writing more than two weeks prior to the start of the session in which the camper is enrolled. Campers withdrawn less than two weeks prior to the camp session are responsible for the full tuition. 

2. Transfers (including the $50 deposit) are permitted up to two weeks prior to the start of camp. The deposit is nontransferable and nonrefundable for registrations canceled within two weeks of the start of the camp session.

3. No refund will be given for a camper dismissed due to disciplinary action.

4. Fees will not be prorated for illness if the camper is unable to attend the full week of camp.

The Department of Social Services licenses several Summer at the Cape specialty camps as well as all day camps. In accordance with Social Service policy, each camper in one of these camps must provide the following three documents at least three weeks prior to the start of camp:

1. A copy of Virginia School Entrance Health Form (MCH-213G) dated within one year of the start of camps, ideally after August 2, 2024. The completed MCH-213G must include documentation of all age-appropriate immunizations and a physical examination. All documents must include the date of the physical exam, and the examining physician must sign the immunization form. 

2. Proof of Identity can include a birth certificate or a birth registration card.

3. A completed Virginia Department of Social Services Registration form.

Current Cape Henry Collegiate students should already have this paperwork on file with the School for the current school year.
 

Unless otherwise notified in writing via summeratthecape@capehenry.org by the parent/guardian, Summer at the Cape has the right to use photographs or quotations of Summer at the Cape participants for future brochures, advertisements and other Summer at the Cape marketing purposes.

There will be a nurse on campus daily from 9:00 a.m. to 3:30 p.m. Sentara Virginia Beach General Hospital is one mile from Cape Henry's campus. Severe emergencies requiring immediate medical attention will be taken to the hospital by car or ambulance. If a camper takes medication, a separate form will be sent to the parent for specific instructions and a doctor's authorization. This form and the medication must be given to either the director of auxiliary programs or nurse by the parent/guardian of the camper. Lunch is included for all full-day camps unless otherwise noted. If lunch is not included with the camp, you may purchase lunch for $35 per week or $8 per day. Contact summeratthecape@capehenry.org  to arrange additional lunch service and payment.

Cape Henry Collegiate cannot guarantee an allergen-free environment for students with severe allergies and is not a food allergen-free school. Our goal is to minimize the exposure risks to allergens posing a threat to students and educate the community about their needs. We ask all families to please avoid packing snacks with peanuts and tree nuts in the ingredients. If your child has food allergies, notify the nurse via email at schoolnurse@capehenry.org.

Any child leaving camp during camp hours must be picked up in the Lower School office by a parent, guardian or family member. Advance notice is appreciated. Please inform camp staff at summeratthecape@capehenry.org of early departures.
